How soon do I need to book?
You should look to book your weekend as soon as possible to ensure availability for your chosen packages. Accommodation and activities are limited to availability and can sell out quickly, so we always advise you to pay your deposit as soon as possible to ensure you get your chosen packages.
How to Book?
It's simple. All you need to do is confirm with your Party planner either by email or telephone your desired arrangements. Once you are happy, you can then pay your £50 deposit either by a payment link issued by your party planner or bank Transfer, we will then lock your chosen date in for you and send you a confirmation email of this from our bookings team. Also don't worry about separating with your hard-earned cash in one go as the full balance isn't due until 5 weeks prior to your arrival with us.
Does everyone in the party pay a deposit?
Yes. To secure the booking we would need to take an initial £50 deposit from the lead booker. We then lock in your dates and allow 2 weeks for other guests to make their £50 deposits to confirm their commitments! once we have everyone's deposits we can then provisionally book your weekend!
Is the deposit refundable?
Yes. On condition that we are unable to provide you with your chosen date and arrangements or supply a similar like for like alternative, your deposit(s) will be returned in full. If we have supplied your chosen date and arrangements or a closely similar ('like for like') alternative, then deposit(s) will not be refunded.
Can I change the accommodation?
Of course, If you feel that you are not satisfied with the accommodation provided you must inform us within 7 days of receiving your 'Provisional Booking' by us, where we will look to provide alternative like for like accommodation or closely similar standard and price. If this is not possible we will offer you a choice of a full and complete refund or alternative arrangements of a lower standard accommodation together with a refund of the difference in price; or alternative accommodation of a higher standard together with an invoice for the difference in price. There will be no administration fees charged and any changes agreed will result in a new and revised 'Provisional Booking'.
How to pay?
Easy Peasy! We work with a merchant services provider that allows for secure individual online payments using any major credit or debit card. A deposit is required by everyone in the group of £50. We will then let you know the final balance of your arrangements and you can pay as much or as little as you want up until 5 weeks prior to your arrivals.
If you wish to book without using the online payment system, then alternatively, you can do a bank transfer for free to Stags vs Hens LTD, Acc 37121268, Sort 309090 and putting the lead bookers name as reference.
What is the minimum amount of people I need to make a booking?
Our minimum numbers are 8 guests for accommodation however some activities may vary, this will all be made apparent upon enquiring.
Can we make special requests / single beds
Requests for single beds are not uncommon and most of the time are not an issue. However, if you have any special requests you must advise us in writing at the time of booking. Although we will always endeavour to pass any request that is reasonable onto the relevant supplier, however we cannot guarantee any request will be met unless we have specifically confirmed this in writing at the point of booking.
What is the check in and check out times for the hotels?
Check in is usually from 2-3 pm and check out between 10am -12 noon. Early check in and late check out times can usually be arranged if necessary but may incur a charge with the accommodation provider. You will receive full details with your 'Provisional Booking'.
Some guests might not be able to do the whole weekend, could they do parts? Yes no worries! we understand that people will have different budgets and often different time constraints and so we can organise a party that allows everyone to choose which elements they wish to participate in. We always like to try and accommodate as much as possible, so long as minimum numbers are met.
Do all hotels include breakfast?
Some of the hotels within our portfolio at Stags Vs Hens include breakfast in the price, but there are some hotels that charge a premium or do not offer a breakfast service. Where breakfast is included, this will always be specified in your 'Provisional Booking'.
How are apartments priced?
Prices for apartments are always based on the full capacity. In the case that your numbers change then we will try and make every attempt to amend the room configurations to accommodate the new party size at no extra cost, subject to availability. When this is not possible, a supplement may be required otherwise the full capacity cost still applies.
Will there be supplements for odd numbers or under-occupancy?
Because of our strong relationships with our accommodation providers, usually we are able to switch room configurations to accommodate your party size at no additional cost, (subject to availability) When this is not possible, a supplement may be payable.
What about Late bookings
If you are booking within 7 weeks of the event date, you must pay a non-refundable deposit to utilise our services and secure your desired date. In this instance, you have 2 weeks as normal for everyone to pay their £50 deposit to show their commitment and you will receive a full list of options where possible, with prices and availability of activities and accommodation available at that present moment in time. The full cost of your Arrangements must then be made within 5 weeks prior to arrangements.
If any enquiries arise less than 5-4 weeks prior to your desired arrangements, then you will have 48 hours to pay the balance in full unless an agreement has been agreed with Stags vs Hens and has been confirmed in writing. Due to the nature of last-minute bookings, all activities and accommodation is subject to availability.
Is Transport included?
No transport is included in any of our activities unless stated. However, we can supply all our customers with contact details for local trusted firms that can accommodate for your needs.
Can I add extra people on last minute?
We will always look to accommodate for additional guests however this will be dependent upon availability. If this is after Final numbers have been confirmed (5 Weeks before arrival) there may be an additional administration charge per our providers.
What if numbers decrease after Final Confirmation?
Once your final numbers have been agreed and suppliers paid in full 5 weeks prior to arrival, then it's not possible to make any refunds. However, we will always endeavour to accommodate if you could find a replacement and we will normally manage the name transfer and administration free of charge.
